As the AP and Administration Clerk, you will play a vital role in ensuring the smooth and efficient operation of administrative tasks, payroll responsibilities, accounts payable duties, and payment processing. You will be working with a prominent Australian-owned engineering firm renowned for its comprehensive in-house expertise. They specialize in delivering end-to-end solutions encompassing design, manufacturing, installation, commissioning, training, and service for single component supply, plant and equipment, or full project execution. In this position, you will be: 

Administrative Duties 

  • Providing support to teams in agreement administration by maintaining the agreement register, uploading documents to Hello Sign, and filing signed documents. 
  • Effortlessly handling phone and email communication, ensuring messages are promptly sorted and directed to the appropriate personnel. 
  • Proficiently managing vendor forms, ensuring their accurate preparation, distribution, and meticulous filing. 

Payroll Responsibilities 

  • Skillfully overseeing time log changes, meticulously approving and updating time logs through the payroll inbox. 
  • Expertly handling payroll forms, efficiently sending them to Hello Sign for managerial approval and diligently processing approved forms. 
  • Maintaining the weekly payroll with precision, compiling time log data into comprehensive payroll reports, and submitting them to the accountant for timely payment. 

Accounts Payable Tasks 

  • Taking charge of the accounts payable inbox, promptly processing supplier invoices and statements, while proficiently routing emails to the appropriate contacts. 
  • Conducting credit card transactions efficiently and accurately, adhering to company policies and regulatory requirements. 
  • Exhibiting exceptional vendor relations skills, proactively resolving any discrepancies or issues with vendors or internal stakeholders. 

Payment Processing 

  • Skillfully processing weekly payments in Tencia, the company’s accounting system, ensuring accuracy and timeliness in financial transactions. 
  • Responsibly handling urgent payments as needed in Tencia, guaranteeing swift and accurate disbursements. 
  • Collaborating seamlessly with the company accountant to rectify any discrepancies in vendor statements, expertly managing vendor reconciliation.
     

Skills and Qualifications: 

  • A high school diploma or a bachelor’s degree is required. Additional certifications or relevant coursework in administration, finance, or related fields will be considered a strong advantage. 
  • A minimum of 3-5 years of previous experience in administrative roles, payroll, accounts payable, or similar positions is preferred.  
  • Strong proficiency in written and spoken English for effective communication with international teams and clients.
     
  • Prior experience with AU clients is highly desirable and will be favorably considered. 
  • Experience in virtual or remote work environments is advantageous. 
     
  • Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint), email clients, and online document management platforms 
  • Comfort and familiarity with using online platforms, cloud-based software, and virtual communication tools are highly valued. 
  • Accurate and efficient data entry skills, along with the ability to meticulously manage and organize data 
  • Demonstrated problem-solving skills and the capacity to think critically in order to resolve issues and challenges  
  • Effective communication skills, both written and verbal, are paramount to interacting professionally with team members, vendors, and clients. 
  • Strong organizational skills are essential to manage multiple tasks, meet deadlines, and prioritize effectively. 
  • Meticulous attention to detail is vital to ensure precise processing of payroll, meticulous management of vendor invoices, and accurate handling of payment files.
