Corporate License and Registration Administrator | Full-Remote, Night-Shift | Up to PHP60K
GoTeam is seeking a highly qualified Corporate License and Registration Administrator responsible for ensuring timely and accurate fulfillment of state corporate license, registration, and insurance requirements, including new state registrations resulting from acquisitions. The ideal candidate will possess excellent organizational and communication skills, with experience in license and corporate registration filing for multiple US states. This role reports to the Sr. Director of Revenue Operations.
Your client is a specialized semi-trailer solutions provider founded in 1997 in Salt Lake City, Utah. They offer new and used trailer services including sales, leasing, rental, repair and maintenance, and parts from ten dealerships in eight states throughout the West, Southwest, and Midwest. They are committed to delivering exceptional customer service and providing in-house financing options to meet their clients’ diverse needs.
In this position, you will be:
- Completing application forms and filing requirements for the company’s transactions involving buying, selling, leasing, renting, and servicing trailers across all states of operation.
- Ensuring timely and accurate completion of license renewals to maintain compliance with state regulations.
- Managing and obtaining bonds as needed in accordance with individual state requirements.
- Administering service licenses for trailers, including mobile truck services, based on state-specific regulations.
- Assessing situations to determine their importance, urgency, and associated risks, and make clear and timely decisions in the best interests of the organization.
- Facilitating effective communication and coordination between brokers and customer/site requests
- Managing the process of handling Certificate of Insurance requests from operational sites to the corporate broker.
- Setting priorities, developing work schedules, monitoring progress, and meticulously tracing details, data, information, and activities
- Overseeing vendors, such as CT Corp or other legal entities, involved in supporting licensing and appointment issues, including the appointment of agents and brokers.
- Registration Liaison Functions
- Serving as a registration liaison to clients and team members, providing proactive advice and guidance on current and upcoming issues related to registration.
- Supporting the resolution of any issues or concerns arising from registration matters.
- Collaborating cooperatively and effectively with others to establish goals, resolve problems, and make decisions that enhance organizational effectiveness.
- Providing comprehensive guidance on registration and disclosure-related rules and regulations to ensure compliance.
Skills and Qualifications:
- At least 3 years of experience in filing US state forms or registrations is required
- Multi-state experience is preferred but not required.
- US Paralegal experience is a plus, providing a strong foundation in legal documentation and processes.
- Proactive individual with exceptional attention to detail skills, ensuring accuracy and thoroughness in completing tasks and documentation.
- Excellent organizational and time management skills, with the ability to manage multiple priorities and meet deadlines.
- Effective communication skills, both written and verbal, to liaise with internal teams, clients, and external vendors.
- Proficient in using relevant software and tools for documentation and record-keeping.
- Analytical thinking and problem-solving abilities to assess situations and make sound decisions.
- Ability to work independently with minimal supervision and as part of a team, collaborating effectively to achieve organizational goals.
