Virtual Executive Assistant | Onsite, Night-Shift | Up to PHP30K
Join GoTeam‘s dynamic team as a Virtual Executive Assistant, where you will play a pivotal role in supporting the team with candidate sorting and daily administrative tasks. As a key coordinator and organizer, you will ensure the seamless functioning of our HR department, making a significant impact on our recruitment processes and overall efficiency.
Your client is a law firm specializing in immigration law, providing legal services to individuals and businesses seeking assistance in navigating the complex US Immigration system. Their goal is to help their clients obtain their legal status in the United States without having to leave the country.
In this position, you will be:
- Reviewing and assessing applications, resumes, and cover letters for current job openings in collaboration with the HR team and assisting in shortlisting candidates based on predefined criteria, and helping schedule interviews.
- Providing comprehensive administrative support to the HR department, including managing emails, calendars, and document preparation while maintaining accurate records, drafting and proofreading correspondence, creating reports, and updating databases.
- Maintaining regular communication with candidates, hiring managers, and internal stakeholders to coordinate interview schedules and provide status updates and respond promptly and professionally to inquiries while maintaining strict confidentiality.
- Assisting in coordinating interviews, both virtual and in-person, by scheduling appointments, sending meeting invites, and ensuring all necessary resources and materials are available to candidates and interviewers.
- Collaborating with the HR team to facilitate the onboarding process for new hires. This involves preparing offer letters, coordinating background checks, verifying new hire paperwork, and communicating pre-employment requirements.
- Maintaining and updating HR databases, including candidate tracking systems and employee records while ensuring data accuracy, confidentiality, and compliance with data protection regulations.
- Supporting the HR department with ad hoc projects, such as researching HR best practices, contributing to employee engagement initiatives, organizing team events, and actively participating in process improvement efforts.
Skills and Qualifications:
- Proven experience as an administrative assistant or executive assistant, preferably within an HR department or related field.
- Exceptional organizational skills with the ability to effectively multitask and prioritize tasks.
- Excellent written and verbal communication skills, demonstrating meticulous attention to detail.
- Proficiency in using various software applications such as MS Office Suite, email clients, and HR databases.
- Ability to maintain utmost confidentiality and handle sensitive information with discretion.
- Strong interpersonal skills, enabling effective collaboration within a team environment.
- Self-motivated and proactive, demonstrating the ability to work independently and meet deadlines.
- Familiarity with HR processes and recruitment practices is highly advantageous.
- Experience working remotely or in a virtual team environment is preferred, showcasing adaptability and efficient remote work capabilities.
- Candidate must be willing to work in a temporary position for up to 3 months, with the potential for permanent placement afterwards
