GoTeam is currently seeking a highly skilled and organized Executive Admin Assistant to join our esteemed team. In the initial phase, this role will involve managing a moderate workload as our administrative tasks are centralized from the UK. However, as the business undergoes significant growth and expansion, this position will take on enhanced responsibilities and plays a pivotal role in supporting our evolving operations. Your client is a European-owned Philippine-based company that specializes in outsourcing, digital, inbound and outbound marketing, virtual assistance, and IT services.

 

In this position, you will be:

  • Efficiently inputting and managing data within the CRM system
  • Maintaining and organizing calendars for executives and team members
  • Editing, reviewing, and creating impactful PowerPoint presentations and proposals
  • Facilitating the seamless integration of new team members and assisting with their onboarding process
  • Coordinating printing services across various locations in the US and Canada
  • Conducting thorough follow-ups with clients and collaborate with the Finance department regarding payment inquiries
  • Potentially managing flight bookings for teams or identify reliable travel agencies
  • Providing prompt and reliable support in resolving IT issues and fulfilling IT-related requests
  • Serving as a pivotal point of contact between the North American and UK operation teams
  • Assisting in consolidating reports and generating comprehensive documentation

 

Skills and Qualifications:

  • Proven track record as an administrative assistant or executive assistant
  • Experience working with international clients, understanding their unique needs and cultural nuances, and delivering exceptional service.
  • Excellent communication skills, both written and verbal, with the ability to convey information clearly and concisely.
  • Strong proactive approach, consistently taking initiative, anticipating needs, and going above and beyond to deliver outstanding support.
  • Exceptional organizational abilities and adept time management skills to effectively prioritize tasks, meet deadlines, and handle multiple responsibilities simultaneously.
  • Proficient in utilizing office productivity software, including CRM systems, calendar management tools, and presentation software.
  • Strong attention to detail and accuracy in data entry and documentation.
  • Ability to maintain confidentiality and handle sensitive information with discretion and professionalism.
  • Collaborative team player with excellent interpersonal skills and the ability to foster positive working relationships with colleagues at all levels.
  • Adaptability and flexibility to thrive in a rapidly changing and evolving business environment.
