Executive Assistant to CEO | Full-Remote, Night Shift Job | Up to PHP30,000
GoTeam is looking for a dedicated Executive Assistant to join the team. The ideal candidate should be able to multitask, anticipate needs, create efficiencies, and stay flexible while coordinating key routines, tasks, and information flow for the Executive Team. This position requires the successful candidate to have the ability to discern between urgent and important matters, and effectively represent the company through various communication channels.
The client for this role aims to simplify traditionally complex aspects of real estate investing, such as taxation, operations, and legal issues, to provide a simple solution to their clients to enjoy the benefits of passive income. You will be working with a team of experienced professionals helping investors achieve high-yield returns in U.S. real estate investment in an easy and straightforward manner.
In this position, you will be:
- Demonstrating the ability to multitask effectively while maintaining a strategic focus, and continuously identifying opportunities to increase efficiency.
- Remaining adaptable to changes and anticipating the needs of the Executive Team, while staying in close communication with them.
- Coordinating and prioritizing key routines and tasks, ensuring seamless information flow, and making informed decisions about which tasks require urgent attention.
- Managing and prioritizing executive email correspondence, ensuring timely and effective communication with internal and external stakeholders.
- Scheduling and organizing meetings, conferences, and appointments for the executive team, including preparing meeting agendas, taking minutes, and distributing meeting materials.
- Coordinating travel arrangements, including transportation, lodging, and other logistics, for the executive team and other staff members as needed.
- Maintaining and updating executive calendars, ensuring accurate and up-to-date scheduling of appointments and events.
- Preparing reports, presentations, and other documents for internal and external communications, ensuring accuracy and professionalism in all materials.
- Acting as a liaison between the executive team and internal and external stakeholders, providing excellent customer service, and representing the company in a professional and positive manner.
Skills and Qualifications:
- Minimum of 3-5 years of experience in an Executive support or similar role.
- Experience working abroad or with BPO experience is highly desirable.
- Proven ability to work independently and make sound decisions under pressure.
- Demonstrated a sense of urgency, with the ability to prioritize tasks and meet deadlines in a fast-paced, deadline-driven environment.
- Excellent proficiency in Microsoft Office suite and ability to learn new systems quickly.
- Highly detail-oriented, organized, and able to thrive in a fast-paced, deadline-driven environment.
- Demonstrated ability to be flexible and responsive, with a positive attitude and a can-do spirit.
- Strong multitasking skills, with the ability to juggle multiple tasks and priorities simultaneously.
- Quick learner, with a talent for quickly adapting to new systems and processes as needed.
- Independent worker, capable of exercising sound judgment when making time-sensitive decisions.
- Strong problem-solving abilities, with a proactive and efficient approach to finding creative solutions.
- Excellent written and verbal communication skills, with the ability to communicate clearly and effectively with colleagues, clients, and partners.
- Highly resourceful team player, with the ability to work effectively both independently and collaboratively.
