Admin Assistant | Hybrid, Night Shift Job | Up to PHP30,000
GoTeam is seeking an experienced and highly organized Admin Assistant to join our team. As an Admin Assistant, you will play a crucial role in coordinating meetings, scheduling training, managing administrative tasks, and providing support to various departments. The ideal candidate should have strong organizational skills, attention to detail, and the ability to maintain confidentiality while being proficient in software applications such as Excel, Word, PowerPoint, and Canva.
Your client leads a legal practice based in California that is committed to making the legal system more accessible to everyone. With a team of experienced personal injury attorneys, they work to obtain medical treatment and fair compensation for clients.
In this position, you will be:
- Coordinating and scheduling meetings, calls, and appointments efficiently.
- Organizing, scheduling, and tracking training sessions, ensuring proper attendance and documentation.
- Administering and accurately recording attendance, quizzes, and surveys for training programs.
- Updating and maintaining training materials for the Leadership Program, ensuring they are organized and up to date.
- Assisting the Human Resources Team with ad hoc administrative and coordination tasks as required.
- Collaborating with cross-functional teams on various projects, providing support, and ensuring timely completion.
- Maintaining a comprehensive understanding of department processes and procedures.
- Safeguarding the confidentiality of sensitive business information and maintaining data privacy.
- Staying proactive and adaptable, willingly taking on new responsibilities, and acquiring new skills when needed.
Skills and Qualifications:
- A Bachelor’s degree in a related field is preferred.
- 1-2 years of relevant work experience as an Executive Assistant, legal assistant, or in a similar role.
- Proficiency in Internet software applications.
- Proficiency in spreadsheet software (Excel) and word processing software.
- Proficiency in PowerPoint and Canva for creating engaging presentations.
- Demonstrated commitment to maintaining confidentiality and exercising discretion.
- Strong organizational skills with meticulous attention to detail.
- Exceptional memorization skills for efficient task management.
- Proactive and self-motivated, capable of taking initiative when necessary.
- Excellent written and verbal communication skills.
- Ability to collaborate effectively with team members and stakeholders.
- Trustworthy and adept at handling sensitive information securely.
- Openness and enthusiasm for acquiring new skills and knowledge.
Must be willing to work in a hybrid work arrangement, consisting of working from the office on certain days located in Cebu City, Cebu.
